Settlement charges auction winners for everything they owe in one payment: won items, buyer premium, raffle tickets and paddle-raise pledges. It runs automatically after an auction closes, or staff take payment in the checkout console.
The Auction Settlement switch on /beta turns on auto-charge, the staff checkout console, the unpaid report and reconciliation. Off keeps current behavior unchanged.
Auto-charge at close
- Turn on Auto Charge Enabled in the auction settings. Auto Charge Delay Minutes (default 60) gives staff time to fix winners before anyone is charged.
- Bidders save a card in the bidder portal. Only cards that can be charged without the bidder present count as ready.
- After the delay, one charge covers the whole order. Forge records the auction transaction, the Payments transaction and the sales document, then sends one consolidated receipt.
- A late winner added after a charge creates a second round that charges only the new items.
- An order with a zero total is marked paid with no charge.
Statuses
Each registration carries a Settlement Status in Salesforce: Unsettled, Partially Paid, Paid, Failed or Needs Action.
Retries
- A declined card is retried 24 hours, 72 hours and 168 hours later, three attempts in total, then marked exhausted.
- A card that needs bidder authentication, or a bidder with no card on file, moves to Needs Action. The bidder gets a payment link and no further automatic attempts run until they act.
- If the payment gateway is not configured, the order stays ready and the unpaid report shows an alert.
- Overlapping sweeps never double-charge: each order is charged exactly once.
Auctions never place authorization holds. Every charge is a one-time capture.
Staff need the bt_fundraising_Auctions_Admin or bt_fundraising_Auctions_User permission set. Refunds need an admin.
