Using the Event Builder

Event Organizers working in the Event Builder can add or remove associations between single Events and multiple Event Groups when creating a new Event, editing an existing Event, or cloning an Event.

Event Builder Updates

  • The Event Group field in the Event Builder’s Event Details section is now called Primary Event Group.
  • The Event Group Association multi-select lookup field is also in the Event Details section. Event Organizers can create or delete Event Group Associations from the Event Group Association field.

Use Cases

Case 1

If an Event Organizer updates an Event’s Primary Event Group field to “EventGroup1,” and the Event has no related Event Group Association records in the Event Builder, the Event will be related to the Event Group Association record with Event (conference360__Event__c) = "this event" and Event Group (conference360__Event_Group__c) = "EventGroup1."

Case 2

An Event Organizer creates or modifies an Event in the Event Builder. The Event’s Primary Event Group field is blank, and the Event has no related Event Group Association records in the Event Builder.

If they set the Event Group Association field to “EventGroup1,” the Primary Event Group field is automatically set to “EventGroup1.”

After saving the Event and opening the Event record, the Event Organizer can see that the Event is related to the Event Group Association record: Event (conference360__Event__c) = "this event," Event Group (conference360__Event_Group__c) = "Event Group1.”

Case 3

An Event Organizer uses the Event Builder to edit an Event with the Primary Event Group field set to “EventGroup1” and the Event Group Association field set to “EventGroup1.”

They delete “EventGroup1” from the Event Group Association field, automatically removing the “EventGroup1” value from the Primary Event Group field.

After saving the Event and opening the Event record, the Event Organizer can see that the Event no longer has any related Event Group Association records.

Case 4

An Event has the Primary Event Group field set to “EventGroup1” and the Event Group Association field set to “EventGroup1.”

If an Event Organizer uses the Event Builder to remove “EventGroup1” from the Primary Event Group field, then “EventGroup1” will automatically be removed from the Event Group Association field.

After saving the Event and opening the Event record, the Event Organizer can see that the Event no longer has any related Event Group Association records.

Case 5

An Event has the Primary Event Group field set to “EventGroup1” and the Event Group Association field set to “EventGroup1,” “EventGroup2,” and “EventGroup3.”

If an Event Organizer uses the Event Builder to remove “EventGroup1” from the Primary Event Group field, then “EventGroup1” will automatically be removed from the Event Group Association field.

After saving the Event and opening the Event record, the Event Organizer can see that the Event’s Primary Event Group field is automatically set to “EventGroup2” since “EventGroup2” is now the oldest option.

The Event is still related to the following Event Group Associationn records.

  • Event Group Association: Event (conference360__Event__c) = "this event," Event Group (conference360__Event_Group__c) = "EventGroup2"
  • Event Group Association: Event (conference360__Event__c) = "this event," Event Group (conference360__Event_Group__c) = "EventGroup3"

Case 6

An Event has the Primary Event Group field set to “EventGroup1” and the Event Group Association field set to “EventGroup1,” “EventGroup2,” and “EventGroup3.”

If an Event Organizer uses the Event Builder to remove “EventGroup1” from the Event Group Association field, then the Primary Event Group field will automatically be set to “EventGroup2” since it's now the oldest option.

After saving the Event and opening the Event record, the Event Organizer can see that the Event is related to the following Event Group Association records.

  • Event Group Association: Event (conference360__Event__c) = "this event," Event Group (conference360__Event_Group__c) = "EventGroup2"
  • Event Group Association: Event (conference360__Event__c) = "this event," Event Group (conference360__Event_Group__c) = "EventGroup3"
