Overview

The Mobile Check-in app’s "Configurable Attendee Fields" feature provides an additional level of customization by allowing Event Organizers to tailor the information visible to Event Staff during Attendee and Session Attendee check-ins. Organizers can add a variety of fields to the Mobile Check-in app’s Attendee Details screen. Previously, only basic Attendee details were shown.

This feature leverages Salesforce's field set functionality by permitting users to select both standard and custom fields, such as a Seat Number, Table Number, Event Name, and personal data, to suit their specific needs. It also streamlines the check-in process and ensures it aligns perfectly with individual Event requirements.

Using Configurable Attendee Fields

The new field set is on the Attendee and Seat objects and allows users to incorporate a wide range of information by leveraging available fields and object relationships. In addition to the custom fields on the Attendee, Seat, and Table objects, users can add fields from the Contact, Account, and Lead objects and the dynamic fields defined in the Attendee, Seat, and Table field sets.

Once the field sets are configured in Salesforce, the Mobile Check-in app automatically detects these changes and displays the fields. No additional manual configuration is required within the app itself.

Mobile Check-in app users can query Attendee data, including data in custom fields defined in field sets. Queries will return data from the Attendee, Seat, Table, and related Contact or Account objects and the dynamic fields defined in the Attendee, Seat, and Table field sets.

New Field Sets

Attendee Object

Event Organizers can use the following field set on the Attendee object to customize the fields displayed on the Attendee Details page in the Mobile Check-In app.

  • Field Set Label: Blackthorn | Mobile Check In Attendee Details

  • API Name: conference360__BT_Mobile_Check_in_Attendee_Details__c

  • Description: This field set controls which Attendee fields are visible on the Attendee Detail screen in the Mobile Check-In app.

Seat Object

Event Organizers can use the following field set on the Seat object to customize the fields displayed on the Attendee Details page in the Mobile Check-In app.

  • Field Set Label: Blackthorn | Mobile Check In Attendee Details

  • API Name: conference360__BT_Mobile_Check_in_Attendee_Details__c

  • Description: This field set controls which Table and Seat fields are visible on the Attendee Detail screen in the Mobile Check-in app.

Limitation

To ensure optimal performance and user experience, we suggest displaying no more than 10 fields at a time.

Add Fields to a Field Set

Configure a field set to display fields on the Attendee Details screen. For the following example, we will use the Attendee object. Use the same steps to customize the field set on the Seat object.

  1. Go to Setup.

  2. Click the Object Manager tab.

  3. In the Quick Search box, enter and select “Attendee.”

  4. Click Attendees.

  5. Click the Field Set tab.

  6. Click “Blackthorn | Mobile Check In Attendee Details”.

  7. Locate the field(s) you want to add.

  8. Drag and drop the field(s) into the “In the Field Set” box.

  9. Click Save.

NOTE: Custom fields can also be created on the Attendee and Seat objects and then added to their respective field sets.

Example

The Event Organizer updates the Attendee object’s “Blackthorn | Mobile Check In Attendee Details” field set to include the Dietary Preference field.

They then update the Seat object’s “Blackthorn | Mobile Check In Attendee Details” field set to include the Seat record’s Table Name and Seat Number fields.

Now, when an Attendee selects a dietary preference when registering for an Event and is assigned a Table and Seat, the Mobile Check-in app user will see the information on the Attendee’s information screen.
